ODUKO REGISTRY LIMITED — Covering odukor.com, oduko.app, and odukoregistry.com.

1. Introduction

This Privacy Policy explains how Oduko Registry Limited, registered under the laws of the Federal Republic of Nigeria with registration number RC 8954900, trading under the name Oduko R, collects, uses, shares, and protects information in connection with odukor.com, oduko.app, and odukoregistry.com. These three are treated together as a single unified Platform for the purposes of this Policy, so the protections and practices described here apply regardless of which of the three a Member happens to be using.

This Policy should be read together with the Terms of Service and the Cookie Policy. By creating an account or otherwise using the Platform, a Member confirms that they have read and understood how their information is handled as described here.

2. Definitions

For the purposes of this Policy, the following definitions apply:

AffiliateAn individual or entity granted a distinct login to create business profiles and manage Applications on behalf of its own clients.
ApplicationAny request submitted through the Platform for a compliance item, license, registration, or filing with a Regulatory Body.

Executing PartnerA qualified professional engaged by Oduko R to complete the execution stage of an Application, and who has been sensitized on the proper handling of Member information.

3. Information We Collect

We collect information in the following categories:

Account and profile information

When a Member creates a business profile, we collect the Member's full name, gender, personal phone number, email address, password, business name, business address, and the nature of the business.

Identification for specific Applications

We collect government issued identification, such as a national identification number (NIN), a passport, or a driver's license, only where a specific Application requires it. This is not required simply to open an account.

Documents uploaded for compliance confirmation

A Member may upload documents such as CAC certificates, tax records, pension registration files, or NAFDAC approvals, so that we can confirm the status of an existing compliance item and provide an accurate compliance scoring percentage. Uploading these documents is optional, except where an accurate score of the Member's current compliance position is required, in which case the relevant document becomes necessary.

Information about others connected to an Application

Depending on the Application involved, a document a Member uploads or a form a Member completes may contain information about other people connected to the business, such as employees or business partners.

Technical and usage information

We collect certain technical information automatically, such as device type, browser, general location, and patterns of activity on the Platform, so that we can understand where our Members and clients are concentrated and improve how we deliver our service to them.

4. Account Follow Up

Where a Member creates an account and takes no further action within three days, we may follow up with that Member through channels such as WhatsApp, email, or a phone call, in order to help the Member move forward with their compliance process.

5. How We Use Information

Information is used strictly to process compliance Applications submitted through the Platform.

Separately, general business information that does not include sensitive personal detail may be used to produce statistics that help us improve the Platform, and to inform our marketing and communications.

6. How We Share Information

We do not share sensitive information during a human advisory session. During the course of completing an Application, however, relevant information may be shared with the Executing Partner responsible for carrying that Application forward, since this is necessary for the Application to be completed.

Where an Application requires submission to a Regulatory Body, the necessary information is shared with that Regulatory Body as part of the submission itself.

We do not share Member information with outside vendors, including hosting providers, payment processors, or other software tools, beyond what is described in this Policy.

7. Storage and Retention

Information is stored on a Cloud Service. Certain information may also be held in short term local storage for operational purposes, and access to this local storage is restricted, with no one given permission to access it unless authorized directly by Oduko R.

Where a Member does not engage with the Platform for a period of two years, the documents associated with that Member's account are removed.

8. Account and Document Deletion

A Member may request the deletion of their account and associated information at any time, by proceeding to the delete section available on the Platform.

9. Publication of Reviews

Reviews submitted by a business may be displayed publicly on the Platform, and may include the reviewing business's name, business sector, and logo. Submitting a review is treated as the reviewing business's consent to the publication of these details in connection with that review.

10. Your Rights Under the Nigeria Data Protection Act

As a data subject under the Nigeria Data Protection Act, a Member has rights in connection with the personal information Oduko R holds about them, including the right to know what information is held, to correct inaccurate information, and to request deletion as described in section eight above. A Member may exercise these rights by contacting us using the contact details in section thirteen below.

11. Cookies

The Platform uses cookies and similar technologies. The categories of cookies used, and how a Member can manage them, are described in full in our separate Cookie Policy, which forms part of this Policy by reference.
